EmailOps Framework™ Phase 3: REVIEW

Pre-Deployment validation of the campaign artefacts.

Overview

The Review phase ensures that every email campaign meets quality, brand, technical, and compliance standards before it reaches subscribers. It serves as the final quality control checkpoint, identifying and resolving issues that could negatively impact customer experience, campaign performance, or brand reputation.

Rather than relying on manual spot checks or individual experience, high-performing email teams use standardized quality assurance (QA) processes, review checklists, and approval workflows to ensure every campaign is accurate, consistent, and ready for launch.

The Review phase minimizes costly mistakes, reduces rework, and builds confidence that campaigns will perform as intended.

Purpose

The purpose of the Review phase is to validate that every aspect of the campaign has been completed correctly before deployment.

This includes reviewing content, design, functionality, personalization, links, tracking, accessibility, rendering, and compliance requirements. The objective is to identify and resolve issues before the campaign enters the Launch phase.

The Review phase begins after all campaign assets have been created and the email has been fully built within the Email Service Provider (ESP). Typical triggers include:

  • Personalization works accurately for all intended audience segments.
  • Rendering has been tested across supported devices and email clients.
  • Tracking parameters have been verified.
  • All required approvals have been documented.
  • The campaign is approved for deployment without unresolved critical issues.

Common Mistakes

Common problems during the Review phase include:

  • Skipping the QA checklist due to time constraints.
  • Reviewing only the email copy while ignoring technical configuration.
  • Missing broken links or incorrect landing pages.
  • Failing to test personalization and merge tags.
  • Not reviewing the email on mobile devices.
  • Ignoring accessibility requirements.
  • Launching without documented stakeholder approval.
  • Making last-minute edits without re-testing the campaign.
  • Assuming previous campaign settings are still correct.
  • Overlooking tracking or UTM configuration.

Best Practices

Successful email operations teams consistently:

  • Follow the same QA process for every campaign, regardless of size.
  • Use standardized checklists instead of relying on memory.
  • Test emails across multiple devices and email clients.
  • Validate every CTA and landing page before approval.
  • Review personalization using real test records whenever possible.
  • Separate content review from technical QA.
  • Require documented approvals before launch.
  • Re-test the campaign after any changes are made.
  • Maintain records of QA findings for future process improvements.
  • Treat quality assurance as an essential operational step rather than an optional final review.
